Management Aide 6 — Youth Education (Part Time)

Essential Duties and Responsibilities:

  • Establishes administrative procedures for program
  • Answers and records incoming phone calls and messages.
  • Provides appropriate program documents to interested and potential program participants.
  • Create, document, and maintain program participant files.
  • Reviews program applications for qualification per program guidelines, policies and procedures.
  • Attend training sessions pertaining to program operations (including database usage) and data entry
  • Reviews participant files to ensure documentation compliance.
  • Takes minutes during staff meetings.
  • Creates new employee binders and manuals per program guidelines, policies and procedures.
  • Works with program management and prepares program administrative procedures.
  • Explains program purpose to potential program participants and community.
  • Prepares, distributes, and maintains a variety of reports.
  • May assist with public relations, fund raising, and fact finding or research activities.
  • Maintains program participant files, and program records and reports.
  • Coordinates office services.
  • Coordinates collection of and preparation of operating reports such as timesheets, narrative and statistical reports, as required.
  • May assist in preparation of program’s budget needs and program’s proposals and annual report.
  • May assist in interviewing job applicants and training of new program employees.
  • May coordinate, and requisition, for maintenance, repairs, supplies, mail and files.
  • Compiles, stores, and retrieves data using computer and program database(s).
  • Conduct studies on agency problems, programs and prepare reports.
  • Coordinates administrative matters with other programs and MDC staff.
  • Collects and evaluates information for program supervisors on operational matters.
  • Assists program supervisor in resolving operational problems, establishing program goals and objectives, program development and revisions.
  • Monitors building and equipment maintenance, procedures and disposal.
  • Assists program supervisor in maintenance of appropriate community contracts.
  • Other duties as assigned.

Minimum Qualifications:

  • A certificate of computer course work completion from an accredited academic or vocational technical institution and a minimum of (2) years of progressively responsible clerical, administrative, coordinative experience or; Equivalent combination of experience and/or training which demonstrates knowledge, skill, and ability to perform administrative, coordinative duties depending on the need of the program.
  • The incumbent must have or be able to obtain a valid Washington State Driver’s License, as required.
  • The incumbent must pass a criminal history background check.
